Data Deletion Policy

Effective date: 10 May 2026 · Last updated: 10 May 2026

This policy explains how individuals can request deletion of their personal information held by Synesys Cargo (Pty) Ltd (“Synesys”) in connection with the Atlas freight management platform. This page satisfies the data deletion callback requirement of the Meta WhatsApp Business Platform and the Protection of Personal Information Act 4 of 2013 (“POPIA”).

1. Who can request deletion

Any individual whose personal information is processed by Synesys may request deletion. This includes:

  • Drivers whose records are held on the platform
  • Transport operators and their contact persons
  • Customer contacts
  • Platform users (dispatchers, administrators)

2. How to request deletion

Option A — Email request

Send an email to megren@synesys.co.za with subject line: Data Deletion Request

Include your full name, the phone number or email address associated with your record, and a brief description of what you would like deleted.

Option B — WhatsApp opt-out

If you are a driver or operator who receives messages from our WhatsApp number (+27 71 637 2847), reply STOP to opt out of all future WhatsApp communications. To request full data deletion beyond WhatsApp opt-out, please also send an email as described in Option A.

3. What we will delete

Upon a valid deletion request, we will delete or irreversibly anonymise:

  • Your name, contact details, identity and licence numbers
  • WhatsApp message history and session data
  • Login credentials and account profile
  • GPS location history
  • Bank account details (if held)
  • Any other personal information not subject to a mandatory retention obligation (see below)

4. What we cannot delete immediately

Certain records must be retained by law regardless of a deletion request. We will retain the minimum necessary information for the minimum legally required period:

Record typeRetention periodLegal basis
Tax invoices and financial records5 yearsSARS / Tax Administration Act
Driver hours-of-service records12 months post-engagementNational Road Traffic Act regulations
Records subject to active legal disputeDuration of disputePreservation of evidence

Once the applicable retention period expires, these records will also be deleted or anonymised.

5. Timeline

We will acknowledge your request within 5 business days and complete the deletion within 30 business days of receipt of a valid request, as required by POPIA. We will send a confirmation email when deletion is complete.

If we are unable to fulfil a deletion request in full (for example, because some records must be retained by law), we will explain which records are retained, the reason, and the date after which they will be deleted.

6. Account closure

If you are a platform user or tenant administrator who wishes to close your account entirely, contact megren@synesys.co.za. Account closure will trigger deletion of all personal data subject to the mandatory retention exceptions above.

7. Identity verification

To protect your personal information, we may ask you to verify your identity before processing a deletion request. This may involve confirming the email address, phone number, or other detail associated with your record.

8. Contact and escalation
